What to do
Before starting to send emails from HRBC, please make settings to“block spoofing”.
Emails sent from HRBC are sent with the HRBC domain which is changed to the user's email address.
“Spoofing” means that the sender's email address (user's email address) domain is different from the HRBC domain and the recipient concludes that the sender has been impersonated and treats the email as spam.
In recent years, heavy countermeasures have been put into place by mobile carriers, mail services etc to deal with spam mail and their are tougher criteria to deem an email as spam mail, therefore we strongly recommend that you take this action.
In addition, when an email is considered junk mail, whether to enter it in the junk mail folder or to block receipt depends on the settings on the server and mailer on the receiving side.
In general, when email transmission is successful but the email is not delivered, there are various causes such as network, server, mailer settings, etc. The following measures can be taken to reduce email delivery failure.
Regarding DKIM (DomainKeys Identified Mail) Support
By default, we support third-party signatures (settings for the Return Path).
If requested, we can also support author signatures (settings for the From address).

PORTERS Corporation does not provide support for DNS server configuration or specification verification.
Please ensure you have reviewed the support information provided by your DNS server provider before submitting your request.

Please confirm in advance whether your DNS server supports a public key length of 2,048 bits.
(If not supported, a 1,024-bit key will be issued instead.)

- [1] Submit your application via the PORTERS DKIM Application Form.
- [2] PORTERS Corporation will generate a public key specific to your domain and notify you.
※Notification will typically be sent by 18:00 JST, five business days after step 1.
- [3] Configure the public key on your DNS server and notify us.
※Please complete this step by 18:00 JST, four business days after step 2.
If not completed within this timeframe, the procedure may be canceled and the issued key discarded.
- [4] PORTERS Corporation will conduct a test to verify the expected response from your DNS server.
If no issues are found, we will inform you of the release schedule.
※If multiple clients request this setup around the same time, it may take several business days to two weeks to finalize the release date.
If there are no such overlaps, the release may be executed immediately.

Recommend your to make settings to allow receiving emails from your company's domain
Please instruct the email recipients to make settings to enable emails from the sender's domain to be delivered.
You may be able to receive even the emails sent from HRBC.
Add an SPF record reference for HRBC domain "porterscloud.com" to your SPF record.
※It is necessary to check with the person in charge of email matters in your company then make the required settings.
There is a possibility that you can avoid cases of emails being considered impersonation by setting the SPF record of your mail server to refer to the SPF record of HRBC domain.
Since the IP of HRBC may change due to maintenance etc., please set the domain reference of “porterscloud.com”.

※If there were other settings originally, please check the details before making this setting.
When sending email from HRBC, the original sender email address is “no-reply@porterscloud.com", however,“From” is set to the user email address “xxx@xxx.co.jp”.
The above sender “no-reply@porterscloud.com” is called 'envelope From', and the user address in From is called 'header From'.
Normally, the 'envelope From' SPF record is checked in order to determine junk email. If there is a source IP and SPF record, it is judged as normal email, and if not, it is judged as junk mail (spoofing).
When mail is sent from HRBC, the source IP is the IP of HRBC, so it is usually judged as normal mail, but there is a possibility that it is judged as spam when the security setting on the receiving side is set to high.
In addition, it is easier for an email to be identified as spam if the recipient previously reported that the address is spam.
Please note that every mail service has its own standards for determining spam mail and these standards are not disclosed to the public and depending on the recipient's settings, email may not be delivered even if the above measures are taken.
