Overview
For the purpose of resolving issues or problems, in your PORTERS environment (the database linked to the “Company ID” entered at login) that you are currently using, if you wish to request/consent to investigation or analysis through access by PORTERS Inc. (via login or machine-based access for viewing), from the business entity that has contracted the PORTERS environment, we ask that you carry out the following actions including the expression of your intention.
■ 1 - Enable the "PORTERS Support" User.
Operation by User Type: System Administrator is required.
If you do not know the email address used for configuration, please contact us in advance.
■ 2 - Express your intention via email.
We request that an authorized person from the business entity that has contracted the PORTERS environment
provide their intention via email in the prescribed format.
■ 3 - After completion of communication, return the "PORTERS Support" User to an unusable state.
Operation by User Type: System Administrator is required.
This page explains the procedures, confirmation steps, and important points required in order to carry out the above actions.
We sincerely apologize for the amount of effort required and the burden this may place on you,
however, this is often necessary for understanding the situation, resolving issues, and identifying clues.

Checking rules on handling information, etc.
When PORTERS Inc. accesses your currently used PORTERS environment, this means that our company will temporarily be able to view that database (information held by your company).
Please carefully confirm your company’s information management rules and any necessary approval processes, and then determine the necessity and whether it is permissible. (Please understand in advance that PORTERS Inc. shall not be held responsible for the appropriateness or impact of that process.)
(At our company, access will be limited to only the personnel necessary for the work and will be carried out in a controlled manner, and we will thoroughly manage the information required for access.)
If you are making use of the security group function
In PORTERS, by using the security group function, it is possible to restrict the functions and screens that users can (or cannot) access. When PORTERS Inc. begins analysis, investigation, or configuration work, if this restriction causes a situation where the work becomes difficult, we may ask you to review those settings in advance.
Also, if you are familiar with the security group settings screen,
we would appreciate it if you could confirm or review in advance whether the "PORTERS Support" User is in a state where it can access the screens and functions required for the analysis, investigation, or configuration that you have requested. (The necessary considerations and appropriate settings vary greatly depending on operational methods, so we are unable to provide uniform guidance.)

Enable the "PORTERS Support" User for use
When PORTERS Inc. accesses your PORTERS environment by logging in, a dedicated user called "PORTERS Support" is used.
The addition and management of this user is handled by the contracting business entity of that PORTERS environment (your company).
Therefore, we kindly ask that you perform the operation to make the user "PORTERS Support" available for use.
*If you do not know the email address used for configuration, please contact a PORTERS Inc. employee in advance. (This is not disclosed due to security reasons. We apologize for the inconvenience and appreciate your understanding.)
*For convenience, this page refers to the typical user name "PORTERS Support", however please note that it may be managed under a different name.
Check whether the "PORTERS Support" User already exists
Click the [gear] icon (Settings) at the top right of the screen, and click "User" in the dropdown list that appears.
A list of users will be displayed, so check whether a user exists that has the email address used for configuration set as the value of the "Mail" setting item.

If it does not exist :
You need to add a user.
Please proceed to the next section Add the "PORTERS Support" User and continue reading.

If it exists :
You need to configure the settings so that PORTERS Inc. can log in and operate using that user.
Skip the next section and proceed to Make the existing "PORTERS Support" User available and continue reading.
Add the "PORTERS Support" User
Click the [+Add New] button at the top of the user list, then click [Agree] in the confirmation dialog.
*Please rest assured that no charges or billing increases will occur as a result of this operation or procedure.
A new user screen will be displayed, where you will configure the required settings.
The points where you need to make the prescribed settings are as follows.
Name
Please enter "PORTERS Support".
However, if necessary, you may prioritize operational or management considerations and specify a different value.
Please enter the email address used for configuration.
*If you do not know, please contact a PORTERS Inc. employee in advance to confirm. (This is not publicly disclosed for security reasons. We apologize for the inconvenience and appreciate your understanding.)
User Name
Please enter "PORTERS Support".
However, if necessary, you may prioritize operational or management considerations and specify a different value.
Start Date
Please enter the start date on which login will be permitted to PORTERS Inc.
User Type
Please select "System Administrator".
Remote Access
Please select "Allow".
...After applying the above settings, click [Save].
A dialog regarding password notification will be displayed, so uncheck the box and click [Yes].
At the same time, please make a note of the date and time at this point. (This will be required to be included in the email described later)
Next, we will guide you through the procedure for formally expressing your intention via email.

Make the existing "PORTERS Support" User available
*Please rest assured that no charges or billing increases will occur as a result of this operation or procedure.
In the user list, for the user whose "Mail" setting item has the email address used for configuration, click the [square action button] at the far left, and click "Edit" from the dropdown menu that appears.
On the User Edit screen, there are three points where you need to configure the specified content as follows.
End Date
Please delete the value and leave it blank.
User Type
Please select "System Administrator".
Remote Access
Please select "Allow".
...After applying the above settings, click [Save].
You will return to the user list screen, so once again, for the user whose "Mail" setting item has the email address used for configuration, click the [square action button] at the far left, and from the dropdown menu that appears, click "Change Password and Notify".
A dialog will be displayed, so uncheck the box and click [Yes].
At the same time, please make a note of the date and time at this point. (This is because it needs to be included in the email described later.)
Express your intention via email
Please send an email to a PORTERS Inc. employee using the following format, including your name and your expression of intent. If there is an ongoing email thread related to this topic, it would be appreciated if you could reply within that thread.
*To prevent misunderstandings or confusion, please refrain from replying to completely unrelated email threads when making this request.
Sender
Please have the "Approver" described below send the email.
If that is difficult, please include the "Approver" in CC.
Recipient
Please address it to the PORTERS Inc. employee or contact you are communicating with or will communicate with.
If sending to the "PORTERS Help Desk", please use hrbc-support@porters.jp.
Subject
There is no specific requirement.
Body
Please include a statement based on the following format, replacing the "*" portions with wording appropriate to your situation.

Please change the settings so that the "PORTERS Support" User can no longer be used.
Specific operations should be determined as appropriate depending on the situation, but as typical examples, the following setting revisions can be considered.
- Update the user information of the "PORTERS Support" User.
- Set the value of "End Date" (to the current date, etc.).
- (Optional) Set "User Type" to "Standard User".
- (Optional) Set "Remote Access" to "Do not allow".
- (Optional) On the security group settings screen, configure so that all operations by the "PORTERS Support" User are treated as "prohibited". (Since the appropriate settings and operations required to achieve this differ depending on the management status of the security group, we are unable to provide a single standardized procedure.
