"Need Admin approval" screen is displayed

■ Premise / Situation
To complete the email settings and make them work as expected, PORTERS email feature (Microsoft recognizes and refers to it as the Enterprise Application "HRBC Mail Service") needs to be granted permission/approval to access your Microsoft 365 information.
The conditions and process required for approval vary depending on your company's Microsoft 365 settings. If this screen appears, it literally means "Approval must be performed by a Microsoft 365 administrator user" = general users cannot approve "HRBC Mail Service"... This indicates that the Microsoft 365 settings are such that only administrators can approve.
…Please note that there have been cases where email settings were completed and worked fine for a long time, but suddenly this situation occurred one day.
The reason why Microsoft requires re-approval is unknown to Porters Corporation, and we have no way to investigate. Please understand that this is outside our support scope.
Below, we share some tips to complete the approval process.
■ Typical solutions / Key points
Please note that these are only typical hints and steps for problem-solving. Depending on Microsoft settings, the expected configuration or operation may not be completed successfully.
We sincerely apologize, but in such cases, please check Microsoft's support information and determine alternative solutions.
Based on what we understand, there are three typical procedures.
Please consider the following methods for configuration. (In most cases, procedure ① may be the easiest to apply.)
① Perform the "admin consent" operation via [Microsoft Entra Admin Center].
We apologize for the brief explanation, but please follow the steps below:
Microsoft Entra Admin Center (https://entra.microsoft.com/)
- From the left sidebar, select [Enterprise Applications]
- From the list of applications, click "HRBC Mail Service" (*)
- From the left sidebar, select [Permissions]
- Click the [Grant admin consent for ○○] button
- Follow the on-screen instructions and click [Accept]
*If you have never attempted to configure PORTERS email settings under [Office 365] from the PORTERS screen, it will not be displayed.
② If "Admin consent requests" are enabled in Microsoft’s "Admin consent settings"
When a non-administrator Microsoft account
attempts to configure PORTERS email settings under [Office 365],
and reaches a screen where a request for approval can be sent to the administrator,
please proceed with the request.
(*If the request cannot be made, this procedure cannot be followed.)
This feature will send a notification email to the Microsoft administrator account,
so please follow the instructions in the email and click [Accept].
③ Configure PORTERS email settings under [Office 365] using a Microsoft 365 administrator account.
*If this operation is not performed correctly, there is a risk that the administrator's mail will be imported, so it is not recommended.
*Please read the following carefully, and if you determine that configuring mail settings in this way is operationally inappropriate, please avoid this method.
On the "Need Admin approval" screen,
Click "Have an admin account? Sign in with that account"
As stated, sign-in and approve using the Microsoft administrator account.
This completes "Administrator Consent."
At this point, be extremely careful to ensure that the administrator's mail is not imported.
When the "User Mail Configuration" screen appears, click [Cancel].
*If you click [Save], the administrator's mail will be imported into the PORTERS user's mailbox!
Next, sign-out of the Microsoft administrator account in the same browser.
*If this step is incomplete, you cannot eliminate the possibility of acting as a Microsoft administrator account from operations in that browser. Please check Microsoft's support information for the exact sign-out procedure.
(Example: Microsoft 365 page and perform sign-out, etc.)
Finally, redo the PORTERS Mail Settings using the Microsoft account that should originally be used.
