You have to understand what is an Event Owner when you configure Google Calendar or Outlook. We will explain its idea and best practices of Google Calendar and Outlook.
What is an Event Owner?
An Event Owner is the account "which creates events".
You are the event owner if you manually create an event and invite someone.
You have to tell ZLOSS "who should be an event owner" when connecting with calendars. It is because ZLOSS can't automatically identify who can be the event owner. This is the setting for "Event Owner".
The Event Owner can be you, who clicked the connection button, but we don't recommend it. If you do so, you have to see all the interview events on your own calendar. We believe it is not useful, and instead, we recommend you create a special calendar for ZLOSS and use it as the Event Owner.
Create a special calendar on Google Calendar.
The following instruction shows how to create a special calendar on Google Calendar.
1. Google Calendar > Settings > Add calendar > Create new calendar
Create a calendar for ZLOSS. You can skip this step if you already have it.
2. Admin console of ZLOSS > Calendar Service
You can find and select the added calendar.
That's all for the setting of Google Calendar.
Create a special calendar for ZLOSS on Microsoft Outlook.
We recommend setting a dedicated calendar for ZLOSS as the "Event Owner."
※ Please note that due to settings or restrictions on the Microsoft 365 side, the calendar may not behave as expected.
Specifications, settings, and configuration methods for Microsoft Calendar and the Microsoft 365 Admin Center are outside the scope of our support.
As an event owner, the selectable calendar options can be broadly categorized as follows:
-
The calendar linked via [Microsoft Calendar Linkage], i.e., the calendar associated with the Microsoft account used to log in.
This is typically displayed as “Calendar” or “予定表”.
-
Calendars of other Microsoft accounts within the same tenant
These are typically displayed using the username.
However, depending on Microsoft 365 settings or restrictions, these calendars may not appear.
Please note that we are unable to determine the criteria or settings required for them to appear, and this is also outside the scope of our support.
Additionally, please be aware that it may take some time for changes made on the Microsoft 365 side to propagate and be reflected.
Due to the specifications of ZLOSS and Microsoft Calendar, the Microsoft account that owns the calendar set as the event owner cannot be assigned as an interviewer.
For example, if user A creates a new calendar called “ZLOSS” and sets it as the event owner, then user A cannot be assigned as an interviewer.
(While it is technically possible to configure it this way, it may result in unexpected behavior, such as time slots not being properly blocked, leading to potential double bookings.)
Additionally, as mentioned above, the calendar set as the event owner will be the publisher of all appointments generated by ZLOSS.
If the event owner is a specific Microsoft account, appointments issued via ZLOSS will be automatically and continuously registered in that user’s calendar, potentially causing their schedule to be overwhelmed by ZLOSS bookings.
If this is a concern, we recommend creating a dedicated administrative user with a Microsoft license specifically for ZLOSS.
Please note that when a new account is created, it may take a considerable amount of time (up to approximately 24 hours) before the account appears on the ZLOSS external calendar screen.
